Before You Start

You will receive a username and password by email from your Guaranty Association prior to the voting period. Keep this email handy — you will need those credentials to log in.

⚠️ Did Not Receive Credentials?

Contact your Guaranty Association administrator before attempting to vote. Voting is only available between the period opening date and the cutoff date stated in your association's notice. The system will not accept votes submitted after the cutoff.

Step 1 — Log In

Step 1: Navigate to your voting portal. The URL will be provided in your association's meeting notice or credentials email.

Step 2: Enter your username and password and click Login.

Step 2 — Enter Your NAIC Number

After logging in you will be asked to enter your company's NAIC number. This identifies which member company (or group of companies) your vote will represent.

Step 1: Enter your NAIC number without a leading # sign.

Step 2: If your number is not found, do not attempt another number. Contact your administrator using the link on the page.

ℹ️ Holding Company Groups

If your company is part of a holding company group, after entering your NAIC number you may see a list of all affiliated companies in your group. Your single login covers the entire group — you do not need to log in separately for each affiliated company. If the group shown is incorrect, contact your administrator before proceeding.

Step 3 — Review the Meeting Notice

Some associations display a meeting notice page before the ballot. This page shows the annual meeting date, location (if applicable), and agenda. Review it and click the button to proceed to the ballot.

Step 4 — Complete Your Ballot

Your ballot will load automatically based on your association's configuration. The ballot contains everything you need on a single page — there is no separate step to choose a ballot type.

Step 1: Vote for the slate. The ballot lists the candidates up for re-election. Indicate your support for each candidate as directed on the page.

Step 2: Add write-in candidates (optional). Write-in fields are included on the same ballot form. Enter the name or company of your write-in candidate in the space provided.

Step 3: Complete any additional ballot items that may appear based on your association's configuration:

Weighted VotesYour ballot will show the number of votes allocated to your company or group based on premium share. Distribute these votes among candidates as you choose — you may concentrate all votes on one candidate or spread them.
Favor / Oppose / AbstainSelect Favor, Oppose, or Abstain for each candidate rather than simply selecting or not selecting them.
Amendment VotesIf proposed bylaw amendments are included, vote Yay or Nay on each amendment.

Step 4: Enter your name and title as the authorized voter for your company.

Step 5: Click Submit.

Step 5 — Confirmation

After submitting you will see a confirmation screen showing:

  • The candidates you voted for
  • The name and title of the voter on record
  • The date and time of submission

Use the Print Confirmation button to save or print a copy for your records. You may also log out from this page.

Requesting a Vote Reset

If you submitted a vote in error or need to change your selection, click Submit a Vote Reset Request on the confirmation page. Your administrator will review the request. If approved, your vote will be cleared and you will receive a notification that you may re-vote.

⚠️ Administrator Approval Required

Your vote is not automatically cleared when you submit a reset request. You must wait for administrator approval before re-voting.

Can I vote on behalf of multiple companies?If your companies are grouped under a holding company group, your single login represents all of them automatically. If you are authorized to submit a proxy vote for a separate unaffiliated company, you can enter a different NAIC number after your first submission using the link on the confirmation page.
What if my NAIC number is not found?Do not attempt to vote under a different number. Use the email link on the error page to contact your administrator.
Can I change my vote after submitting?Use the Vote Reset Request option on the confirmation page. Your administrator must approve it before your vote is cleared.
When does voting close?The cutoff date is stated in your association's meeting notice and on the ballot pages. No votes can be accepted after the cutoff.
Who can see my vote?Your vote is visible to your Guaranty Association's administrators. Aggregate results are shared with members through the association's normal communications after the voting period closes.
